CANCELLATION POLICY

1201.1 PURPOSE AND SCOPE

The purpose of this policy is to explain the responsibilities of the customer when cancelling previously scheduled reservations at the Baytown Fire Training Field (BFTF).

1201.2 CANCELLATION REQUEST

Cancellation requests may be submitted in writing, via email, to BFDTraining@baytown.org . A reservation is not considered canceled until the customer receives written acknowledgement confirming the cancellation via email from the BFTF staff. Any cancellation requests made over the phone or in person will not be considered valid.

1201.3 DEPOSIT AND FULL PAYMENT

A reservation is considered complete once the deposit has been paid. A confirmation email will be sent to the customer at the time of payment. The remaining balance of the reservation is due in full within thirty (30) days after the latest reservation date on the invoice.

1201.4 REFUNDS

Cancellation requests submitted seven (7) days or more in advance of the reservation date will incur no penalties and receive a full refund of the deposit and any additional payment that has been made toward the reservation.

Cancellation requests submitted within six (6) days or less of the reservation date will not receive a refund of the deposit. However, any additional payment that has been made toward the reservation, will be refunded in full.

Reservations cancelled by the BFTF staff and by no fault of the customer, will have the option to receive a full refund of the deposit and any additional payment that has been made toward the reservation, or to reschedule their training for another available date, pending review and written confirmation from the BFTF staff, and apply the funds to it.

1201.5 INCLEMENT OR ADVERSE WEATHER CONDITIONS

The BFTF’s standard operating hours are 0700 – 1700, Monday through Friday, excluding City Holidays.

If inclement or adverse weather conditions will not allow for safe and effective training to be conducted, as dictated by the BFTF staff, and training has not yet begun, the customer will have the option to receive a full refund of the deposit and any additional payment that has been made toward the reservation, or to reschedule their training for another available date, pending review and written confirmation from the BFTF staff, and apply the funds to it.

If inclement or adverse weather conditions interrupt more than half of any scheduled training time, as dictated by the BFTF staff, the customer will be given the opportunity to reschedule their training for another available date, pending review and written confirmation from the BFTF staff, at no additional charge.

However, if the customer is able to train for more than half of the scheduled training time, they will not receive a refund of their deposit nor any additional payment that has been made toward their reservation. The option to reschedule their reservation will not be given.

1201.6 NO CALL/NO SHOW

Customers who fail to cancel their reservation within the allotted time frame and fail to appear on the day of their reservation will not receive a refund of their deposit nor any additional payment that has been made toward their reservation. The option to reschedule their reservation will not be given.
